Logo Guidelines

The design of a professional logo does not end with the approval of the final concept and the delivery of the files. To maintain a consistent and recognisable image over time, it is also important to define clear rules for its correct use.

Alongside the logo design, I can therefore create a customised guide explaining how the brand mark should be used across different digital and printed applications. The logo guidelines include information about the available variations, colours, typography, minimum sizes, clear space and the correct use of the logo on different backgrounds, photographs and materials.

The guide enables clients, collaborators and external suppliers to use the logo without altering its proportions, colours or legibility. It becomes a practical reference for printers, web designers, agencies, marketing managers and anyone who needs to work with the new visual identity.

What are logo guidelines?

Logo guidelines, also known as a logo style guide or logo usage guide, are a document defining the fundamental rules for reproducing and applying a brand mark correctly.

A logo may be used across many different applications, including websites, documents, presentations, social media, business cards, packaging, signage, clothing and promotional materials. Without precise instructions, each supplier may interpret it differently, unintentionally changing its colours, size, position or proportions.

The guide reduces this risk and ensures that the logo always maintains a consistent appearance, even when it is used by people or companies that were not directly involved in the original project.

Logo guidelines also help to:

  • prevent arbitrary changes to the brand mark;
  • maintain good legibility at different sizes;
  • select the appropriate version for each background;
  • coordinate printed and digital communication;
  • provide clear rules for collaborators and suppliers;
  • preserve the quality of the original design over time.

Not every company requires the same type of document. A small business may only need a concise guide containing the essential rules, while a startup or company working with numerous materials, collaborators and suppliers may require a more comprehensive manual.

What does a logo style guide include?

As a freelance brand designer, I developed a logo usage guide for Lymphatica Medtech, a Swiss company operating in the medical technology sector.

The document explains how to reproduce and use the brand mark correctly across its main applications. It defines the available configurations, colours, typography, clear space, minimum sizes and the correct use of the logo on different backgrounds. It also includes examples of permitted applications and alterations that should be avoided. This enables the company to share its logo with collaborators, printers, agencies and suppliers while maintaining consistent and recognisable visual communication.

The content of each guide is defined according to the characteristics of the project and the client’s actual requirements. A professional logo style guide may include the following sections.

Content index

The guide opens with a content index presenting all the chapters clearly and making the rules within the document easy to find.

Logo versions and configurations

When necessary, the logo is prepared in different configurations: primary, secondary, horizontal, vertical, compact or symbol-only. The guide specifies when each version should be used, preventing unsuitable configurations from being applied to the available space. A horizontal version may be appropriate for a website header, while a compact configuration may work better as an icon, social media profile image or within a square format.

Logo clear space

Clear space is the minimum area that must remain empty around the logo. Text, photographs, borders and other graphic elements should not enter this area. The empty space ensures that the brand mark remains legible and does not become visually confused with the surrounding elements. The clear-space measurement is normally based on a proportion or element taken from the logo itself, allowing the rule to be applied consistently at any size.

Minimum size

A logo reproduced at a very small size may lose legibility, particularly when it contains thin lettering, fine details or a tagline. The guidelines therefore define the recommended minimum sizes for both printed and digital use. These values may change according to the logo configuration and the medium on which it will be reproduced. When the available space is very limited, a simplified version or the symbol alone may need to be used.

Meaning of the logo and symbol

The guide may include an explanation of the concept behind the logo or symbol, supported by graphic elements and a short description. This section allows collaborators and external suppliers to understand the meaning of the brand mark and the design rationale behind it. The concept is developed during the analysis and design proposal stages, following a process refined through more than 15 years of experience in professional logo and brand identity design.

Typography and font styles

The guide may specify the typefaces used within the logo and those recommended for headings, body text, presentations and corporate communication. The choice of fonts contributes to the personality of the visual identity. Using them consistently helps to create a coordinated and recognisable system, even when the logo is not prominently displayed.

Brand colours

Colours are specified using the codes required for the main applications:

  • CMYK for printing;
  • RGB for screens and presentations;
  • HEX for websites and digital applications;
  • Pantone when the project requires standardised colour reproduction.

Defining precise values prevents the colour of the brand mark from changing between websites, documents, promotional materials and printed products.

Logo variations and file formats

The guide may present the different compositions created for specific contexts: symbol only, symbol and logotype, or symbol, logotype and tagline. It may also include the colour variations defined for the project, such as the primary full-colour version, monochrome, positive and negative versions, or configurations using gradients where these form part of the original design.

The document explains which variation should be selected according to the medium and the available dimensions. For very small printed applications, for example, a simplified solid-colour version may be preferable. For larger applications, such as posters, exhibition stands or signage, the complete configuration may be used.

Use on backgrounds and photographs

The guide explains how to apply the logo to light, dark, coloured or photographic backgrounds. When the primary version does not provide sufficient contrast, alternative variations may be used, including white, black or monochrome versions, or a logo placed within a protected area to preserve its legibility.

Instructions for background use are particularly important for websites, social media, presentations, exhibition stands and advertising materials.

Incorrect logo usage

A dedicated section shows the alterations that should be avoided, such as stretching or compressing the logo, changing its proportions or colours, rotating the brand mark, adding shadows or outlines, replacing the typeface or placing it on backgrounds that reduce its legibility. The spacing between the symbol, logotype and tagline should not be changed, and the individual elements should not be rearranged without following the approved configurations.

Concrete examples make the rules easy to understand, even for users without graphic design experience.

What is the difference between logo guidelines and brand guidelines?

Logo guidelines focus mainly on the use of the brand mark: its variations, colours, proportions, dimensions, clear space and correct applications.

Brand guidelines are generally more comprehensive. In addition to the logo, they may include the complete typography system, colour palette, photographic style, icons, graphic elements, layouts, tone of voice and examples showing how the entire identity should be applied.

Depending on the size and requirements of the project, I can therefore create an essential logo usage guide or a more comprehensive manual coordinating the entire brand identity.

A guide developed around the project

I do not use an identical template for every client. The structure and level of detail depend on the type of logo, the materials on which it will be applied and the number of people who will use the visual identity. During the project, I evaluate which rules are genuinely necessary and prepare clear documentation, avoiding both insufficient information and unnecessarily complex manuals.

The guidelines can also be updated over time, for example when new logo variations, materials, products, digital channels or corporate applications are introduced.

Do you need a professional logo and usage guide?

I can design your new logo and prepare customised guidelines for its correct use across print, web, social media and corporate materials. Describe your business and the applications you are planning: I will be able to assess whether an essential logo style guide is sufficient or whether your project requires more comprehensive brand guidelines.
